Fleet Management Settings

Fleet Management enables the user to set certain definitions for staff use in the various Fleet Management areas.  Access to the Settings icon is reserved for System Admins and other permitted Roles.  Customers should begin their use of the Fleet Management Module by entering their customized terms in the Settings section.



Accident/Incident Types

Customers will enter the terms that will be available for Staff, when Staff are entering an Accident or Incident Report.  These Accident/Incident Types must be entered prior to entering any Accident or Incident into iCM.  Consider Types that describe the type of Accident or Incident and will help your Staff categorize the event.  Accidents may include terms such as Front End Collision or Single Car Accident.  Incidents may include Windshield Damage or Damage Found on Vehicle.  These terms are the only terms Staff will have access to when entering an Accident or Incident Report.

1.  Log in as a System Admin or other permitted Role and access Fleet Management.

2.  Choose the Settings icon and select the Accident/Incident Types

3.  Select the + Accident/Incident Type icon

4.  From the Add Accident/Incident-Type pop up, click on the Type drop down to select Accident or Incident.

5.  In the Title area, input a title for the type of accident or incident and Save.  Repeat as necessary to build out your desired types.

Accidents/Incidents Reporting

Vehicle/Equipment Makes

Customers must enter each vehicle and equipment Make in their current inventory.  These Makes must be entered before you can enter any vehicles/equipment either manually or with the import table.  Makes are the company names of the vehicle companies, i.e. Ford, Chevrolet, GMC, Toyota etc.  Makes are also the company names of the equipment companies, i.e. John Deere, Toro, Honda.  These Makes will be the only terms Staff will have access to when entering a new vehicle/equipment to your inventory.  **Now that staff will be able to enter Accidents/Incidents that occurred in their personal vehicle, they will need to have any personal vehicle Makes entered as well.**

1.  From the Settings icon, select Makes

2.  Select the + Make icon

3.  From the Add Make pop up in the title area, add a mark, then select Vehicle or Equipment and Save.  Repeat as necessary to build out your desired Makes.

4.  In the Title area, input a Make, choose Vehicle or Equipment and Save.  Repeat as necessary to build out your desired types.

Vendor Types

Customers must enter various types of vendors to help classify needs.  These Vendor Types must be entered prior to entering any Vendor information.  Consider Types such as Oil and Lube, Body Shop, Transmission Services, Electronic Vehicle Repair etc.

1.  From the Settings icon, select Vendor Types and select the + Vendor Type icon

2.  From the Add Vendor Type pop up, add a type and Save.  Repeat as necessary to build out your desired types.

Maintenance/Repair Types

Customers must enter various types of maintenance/repairs to help classify those tasks available for staff selection.  These Maintenance/Repair Types must be entered prior to using the Maintenance/Repair module.  Consider Types such as Oil and Lube, Body Shop, Transmission Services, Electronic Vehicle Repair etc.

  1. From the Settings icon, select Maintenance/Repair Types and select the + Maintenance/Repair Type icon
  2. From the Add Maintenance/Repair Type pop up, add a type and Save.  Repeat as necessary to build out your desired types.
