Release Notes 3/29/2024 - 4/9/2024

We are pleased and excited to announce these New Features and Enhances with iCM.

New Features


Manage Funding Streams

  • iCM has made updates regarding how the Funding Stream / CPT codes now appear in that module with specific information noted in tabs.
    • Funding Stream Rate Versioning
      • In Manage Funding Streams, customers have the ability to assign a Rate for a specific time period in the Funding Stream Template.  Customers will also find the ability to publish this Rate and timeframe to any Individual's currently receiving this Funding Stream.  This allows customers to have greater oversight into their billing and monitoring income.  Customers will also find the ability to set a specific Rate at the Individual level if an Individual is receiving a different rate.  All rates will be displayed in the Individual Billing View Report for LTSS users.  837P users will find the Rate for the date of service utilized in the generation of the 837p Batch file.  Information on how to add and use Rates can be found here.
    • Unit Optimization
      • Some Funding Streams / CPT codes may allow for excess time from one day to support billing for another day's unit of service.  This may apply to days in which the minimum service time was not met and/or for specific absences that can be considered as Billable.  837P Billing Platform customers will find an option, "Allow to optimize billing unit" to enable this feature when other options are also toggled.  Additional information can be found here and here
    • Multiple Modifiers
      • Customers using the 837 Funding Streams / CPT Codes and billing platform now have the ability to list up to four distinct Modifiers when Editing their Funding Streams.  These modifiers will pull into the generated Batch file and in the appropriate format for billing.
    • Custom Present and Absent Codes
      • While not a new feature, the display has changed and some customers will be able to leverage custom Absences that can be considered billable.  More information regarding Billable Absences can be found here.  LTSS users will continue to use the Retainer Day settings, specific to their billing platform.

CareTracker

  • iCM has redefined the permission in Permissions->Tracker->Allow users to chart in future.  The definition of future also includes future time, not just days.
    • Roles with this permission set to No, will not be able to record a task as completed in a future time in the same day.  Staff attempting this entry will receive a pop over indicating this restriction.  
    • Roles with this permission set to Yes, will see a confirmation alert to ensure they are aware they are entering a future Start or End time based upon the current time at their location.  This confirmation can also enable the staff to receive an alert to review the log at a later time.

Enhancements

Progress Note

  • Customers will now find a new layout when accessing the Progress Note Module however all the same functionality is still available.  Staff desiring to enter a Progress Note will simply select the green Add Progress Note icon.  The new landing page layout was created to enable mentions to take the customer directly to the exact Progress Note mentioned.  More information on Progress Notes can be found here.
  • The Progress Note Filter now includes a Notes filter enabling customers to search by key words.
  • The Progress Note also now includes the ability to mark a Progress Note as Private.
    • This enhancement is governed by three new Permissions located in Permissions->Individuals and all current defaults are No.  Please review and updates these permissions accordingly so you can take advantage of this new enhancement.
Clinical Contact Note Templates
  • Customers creating Clinical Contact Note Templates will now find the ability to drag and drop the Section titles in different orders as well as the same with the Options.  This allows customers to reorganize and/or updates templates without the need to start a new template.  
Staff Credentials
  • Customers will now find a feature allowing staff to record their credentials, including origination and expiration dates aimed to simplify credential management and enhance user flexibility within the system. This creates a new section within the Staff Profile under Role & Job Title. Users can input certification/license type, ID, and expiration date, while ID entry supports numbers, letters, and special characters. History tracking is included. 
  • As this features has been moved out of the Role & Job Title section, it now has it's own permission, "Staff Credentials" and is defaulted to No.
  • Any current credentials attached will now be displayed in the new section and customers should review and take advance of the new fields to capture and ID and any associated Expiration Date.
  • Users can also now select multiple credentials for display on documents.
Credentials Report
  • The Staff Credential Report, located in the Reports section under Staff, allows users to filter by Staff, Credential Name, and Expiration Dates from and to.  This enhancement empowers customers to easily track their staff credentials, including origination dates and expiration dates, providing greater transparency and efficiency in managing workforce certifications.
  • As this is a new Report, the permission is defaulted to No.  
Psych Functional Assessment
  • Customers printing the Psych Functional Assessment, will now find the Staff's credentials that signed the document displayed as long as the Credential setting is toggled on.  This setting is located in iCM-Settings->Staff Settings->Display Credentials and is defaults to Off.
Mobile App Updates
  • iCM often updates the Mobile App.  Sometimes as much as twice a week.  Best practice would have mobile devices set to auto update so these revisions are automatically installed.  Staff may experience issues when new versions of the Mobile App are released but the device is not updating.
    • Coming Soon: The mobile app's display of the BSP Goals and Outcomes now matches the we app, with this information appearing under the sub category, Behavioral.
