Individual Insurances

Documenting Insurance in iCM is a very important field and may generate to various documents and reports inside of iCM for exporting and faxing.  In Sept 2023, iCM redesigned the Insurance tab and provided notification to customers that the old insurance tab will be retiring in mid December.  With this new layout, iCM now includes a complete history of any changes, the ability to print this history and the ability to quickly visualize the insurance information.  iCM has included two permissions located in Permissions->Individuals->Insurance and Insurance History.

From the Individual's Profile, select Administrative->Insurance

Until mid December 2023, customers will find 4 tabs including the original Insurance tab on the far right.  A scrolling banner informs that customer of the retiring of this tab.  As this tab is retiring, customers should move this information into the new tabs which are specific to Medicaid, Medicare and Other Insurances.

Medicaid

  • The Medicaid or Medical Assistance tab contains the Medicaid number and any State system or MCO information.  This tab may be required for billing in your state and entering past, current and future information is important.  Enter the Individual's Medicaid Number in the required field.  For a time being you may see a warning, instructing that now that the new insurance tab has been utilized, the importance of continuing to update the information as it is pulling to the Facesheet etc. 

  •  Once entered, customers can begin to populate the Add MCO area.  Depending on your state, the Medicaid/MCO information may be optional and/or required for billing.  Individuals using a state system without MCOs should still enter the information of their state system.  Some state examples are PROMISe, MIHMS, IME (Iowa Medicaid).  MCO examples could be Amerigroup, Molina, Aetna, United Healthcare etc.  As the Effective Date is a required field, if this is unknown, please enter the earliest known date that service was active.  When possible it would be best practices to enter all previous and current MCOs associated with the Individual.  The system will require you to enter an End Date before attempting to add another MCO.

Medicare

  •  Enter the Individual's Medicare Number in the required field and then use the Edit icon to add information specific to Part A, B, C and D.  For a time being you may see a warning, instructing that now that the new insurance tab has been utilized, the importance of continuing to update the information as it is pulling to the Facesheet etc.  As the Effective Date is a required field, if this is unknown, please enter the earliest known date that service was active. 

Other Insurance

  • The Other Insurance tab is your location to record any private or other insurance the Individual may have available to them or purchased.  For a time being you may see a warning, instructing that now that the new insurance tab has been utilized, the importance of continuing to update the information as it is pulling to the Facesheet etc.  As the Effective Date is a required field, if this is unknown, please enter the earliest known date that service was active. 
  • This area also provides the ability to provide a positive indicator that a staff has reviewed and noted the Individuals has no insurance that would be recorded in this area.  Checking this box and saving will prevent the addition of any insurance.  

  • Removing the check from this box will allow the entry of insurance information.
