We are pleased and excited to announce these New Features and Enhancements with iCM.
New Features
Cloning a Clinical Contact Note
- This release introduces a new feature that allows users to clone data from a previous Client Contact Note (CCN) to start a new draft. This enhancement is designed to streamline the data entry process by pre-populating fields with relevant information from previous CCNs, thereby reducing repetitive data entry. This enhancement will be a great asset for customer that have built and use complex Templates as part of their CCN documentation.
- Users can now initiate a draft CCN with data pulled from a previous CCN. This feature includes the following specifications:
- The “Completed by” field will default to "ME."
- The following fields will not be populated from the previous CCN:
- The “Target Behaviors” section will display any data summary information and any new targeted behaviors added but no Review Dates
- Service Date
- Service Duration
- Is Billable
- A new permission has been added to control the clone functionality in Permissions->Clinical Services:
- No Access / Clone Own / Clone Others
- The default setting for this permission is "No Access."
- Users can now initiate a draft CCN with data pulled from a previous CCN. This feature includes the following specifications:
Clinical Contact Note; additional fields
- This release introduces a new settings in the CCN (Client Contact Note) module that allows customers to customize the header of their CCN documentation. Specifically, users now have the option to display additional critical demographic fields to meet state or federal documentation requirements
- Customers can now configure the CCN header to include the following demographic fields:
- Medical Assistance Number: Retrieved from the Individual Profile under Admin -> Insurance.
- DOB (Date of Birth): Displayed in the format MM/DD/YYYY.
- Settings: These fields are governed by settings in iCM-Settings->Clinical Contact Notes Settings.
- Both are currently toggled to No but can be adjusted as desired.
- Customers can now configure the CCN header to include the following demographic fields:
Enhancements
My Work
- This release introduces an asterisk (*) feature to the 'In Progress' task status.
- When a staff member completes a task, the status will change to 'In Progress*'.
- The asterisk (*) indicates that the task has been completed by the logged in staff member, but remains incomplete for some other team members.
- A note in the footer provides explains the reason for the * asterisk.
Training Management
- Trainers now have the ability to mark staff Trained when closing the last day of a multiple day training class. The option to Mark Trained, will only appear on last day of the multi day class. The Class will also be closed once all the days are closed.
- Customers now have the ability to view training data for past documents that were required staff training, as well as the documents on which staff were trained. This data can be accessed through the Training report in the Reports section as well as the Staff Profile->Training tab.
Clinical Contact Note printing
- This release introduces an enhancement to the printed CCN for iCM users. The system now automatically omits the the additional sections—Specific Activity Area and Follow Up—from the printed CCN if no data has been entered for these fields. This ensures that only relevant, completed fields are displayed in the document, improving clarity and reducing unnecessary information.
Funding Stream; Rule Warning
- This release introduces validation checks within the Individual Funding Stream module to prevent users from modifying or creating Attendance rules under specific conditions. The goal is to maintain data integrity by ensuring that existing attendance records are not affected by rule changes.
- When a user attempts to edit an Attendance Rule in the Individual Funding Stream, the system will perform a check to determine if any attendance records exist for the selected rule and if so the system will display a message and prevent the user from modifying fields that directly affect the calculation of the attendance unit.
- When a user attempts to add a new Attendance Rule in the Funding Stream, the system will again validate the Effective Month setting and may display a warning and prevent actions If attendance records are found for any day in the selected effective month or any following month.
Staff Management; Initials
- This release introduces a new feature that automatically generates unique initials for each staff member to prevent confusion between users with similar or identical names. The system will dynamically generate initials for staff based on their first and last names, resolving conflicts as needed, and ensuring that initials remain consistent even in cases where staff members change their last name
Individual Profile
- Manage Status: Therapeutic Leave is now available as a status option in the Manage Status area for the Individual. This enhancement brings additional terminology to the statuses increases the choice options.
- Behavior Support Types: A customizable list is now available to appear in the Individual Profile->based Info area. This list can be managed in Admin Tools->iCM-Settings->Individual Profile Settings.
Housekeeping
- New permissions have been added in Permissions->Admin tools to govern access to the PCP Settings.
- Options are No / Yes and the default has been set to No
- This update allows System Admins to control different role's ability to access PCP Settings.
- The PCP Service Authorization Setting tile has been removed as this is no longer a feature in iCM.
- Entering code based attendance in the Mobile App will now only register 1 Unit if the required timeframe has been met as part of the Clock in / Clock out process.
- iCM will display a warning when an attempt is made to copy a previous attendance's timeframe to the current day where the copied timeframe exceeds the current time.
Mobile App
- iCM often updates the Mobile App. Sometimes as much as twice a week. Best practice would have mobile devices set to auto update so these revisions are automatically installed. Staff may experience issues when new versions of the Mobile App are released but the device is not updating. If the above enhancements are for modules that exist on the Mobile App, please note that is may be a few days until they are published and available.
