Release Notes 9/13/2024 - 9/26/2024
We are pleased and excited to announce these New Features and Enhancements with iCM.
New Features
- Customers can now enforce a setting where any Staff that have not logged in within X day will be locked out of the system.
- This feature is available from Admin tools, iCM-Settings, Account Auto-Locking Settings.
- Customers can choose 15, 30, 45, 60, 75 or 90 days.
- Customers should hold internal discussions regarding this setting before enacting. As an example, customers that choose and enact 30 days will lock out any staff that have not logged in for the last 30 days.
- While this setting can be turned off or adjusted, any staff that were locked out based on the setting will not automatically be able to log in again. Permission based staff will have to manually change each Staff's Profile status.
- The action selected will take effect at Midnight.
- The listing of Locked out Staff can be viewed in Manage Staff, by selecting the drop down for Locked.
- A lock symbol will also appear next the Staff's name and picture.
- Unlocking Staff can be accomplished in the Staff's Profile on the left with the other actions of Change Password, Terminate etc.
- This feature is available from Admin tools, iCM-Settings, Account Auto-Locking Settings.
Incident Reporting: Detailed wound documentation
- Customers can now enable staff to document Detailed wound reporting. Staff can select from customized lists to note an injury's location, type, shape, severity, color and size.
- Access to this feature and the customized lists to support this feature are located in the Wound Chart Options tab in Incident Report Settings.
- Permissions are included to enable Roles to Add, Edit and Delete their own entries and another set to Edit and Delete entries by others.
Enhancements

Customers using the Program Based PCP have a new feature to include a newly assigned Program to any Draft PCP. In this scenario a Draft PCP has been initiated and then the Individual has been assigned to another Program. On the PCP landing page the Draft PCP will now show an Add Program icon. Selecting this icon will enable the staff to add any newly assigned Program to any Draft PCP. This feature provides additional functionality to the Program based PCP option.

As PCPs can be drafted to start on days other than the Annual PCP date, the PCP landing page now displays the Due Date for each PCP on the left to the screen.

The PCP Report and the PCP Review Report now have permissions which are defaulted to: Access. System Admins should make adjustments accordingly.
Do Not Intubate (DNI)
- Customers now have the option to include the Individual's desire for No intubation.
- This option now appears in the the Individual's Profile, Medical Info tab, DNR which has been relabeled to DNR/DNI.
- The Individual's decision can be recorded as Yes or No.
- "Yes" will provide a visually display of DNI under the Individual's picture for both the Individual List and their eChart.
- Either selection will also appear on the Individual's Facesheet.
Immunizations
- In this release, a new option labeled "Not Recommended" has been added to the immunization section/popover.
- When this option is selected, the system will no longer prompt the user to enter a completion date. Instead, users will have the option to add comments explaining why the healthcare provider did not recommend the immunization.
- These comments will be visible within the immunization record. Additionally, the "Not Recommended" status will be reflected in all relevant reports and documentation, ensuring the accurate representation of immunization status across the system
- Witnessing a medication in the eMAR now has a cleaner and more functional user experience.
- The improvement ensures the witness signature for the administered medicines is also documented in the generated MAR.
- The ability to Witness Medication Administration and Undo Witnessed Medication are both controlled by permissions located in Permissions->eMAR.
On-Call Log
- Entries can now include the drop down of: Individuals, for all Type of Calls.
- For entries that may not be Individual specific, customers can select the N/A option.
- Language Methods to Communicate: Customers can now multi-select the language methods in the Individual Profile.
- Pronouns: Addition pronoun selections are now available. This information is also displayed in the Individual Report as well as the Individual's Facesheet.
Employment
- In the Individual's eChart, Employment tab a Safeguards icon has been added to every active employer where customers can document any safeguards that are specific to the job.
Individual Assessments
- Communication: expressions has been added as a communication option.
- Individual Rights: A new section in the Assessments to document an Individual's awareness of their rights, sexual consent and medical procedures.
- Psych: Behavior Tracking: This new section in Psych Assessments targets the tracking of behaviors of an individual. This may be beneficial to Individuals that do not meet the needs for a formal behavior plan.
- Safety: We have improved the experience of this page, by adding sub-section headings and by mapping the existing questions in a section-appropriate manner.
- Travel: Additional fields are now available to document an Individual's type of travel, level of supervision during those modes and how they are supported.
- Unsupervised Time: Additional fields are now available in the Level of Supervision to more concisely document an Individual's requirements in various settings.
- The Training Policies tab now retains a complete history of any changes to any policy. Selecting the "Show Historical Log" will display a pop over displaying the Updated and Previous information as well as the Staff and date/time stamp of when the action occurred.
- The New Type, "CCS" for Coordinators of Community Services is now available when adding a Provider in the Organizational category. This can be used to capture the various organizations that are a stakeholder in supporting the Individuals in your organization. Once added to the Manage Provider areas this information can be attached to the Individual, and if desired can selected to appear on the Facesheet.
837p/i billing
- A Procedure Description field has now been added to these Funding Stream's Attendance Rules. This text field will be pulled into the generation of the 837p / 837i files for billing and will display on the CMS1500.
Label Management
- Individual Contacts: Medical Decision Maker can be changed to any term that may be better suited for your location and audience.
- This can be accessed in Admin Tools, iCM Settings, Label Management. Changes made here will display throughout iCM, the Facesheet and both the Contact Mailing List and the Outreach Contacts Mailing Report.
User Experience updates
- PCP
- The system now automatically removes a discharged Program for an Individual's Draft PCP.
- Passwords
- When Staff are changing a password, they will not be able to use the current password saved in the system.
Mobile App
- iCM often updates the Mobile App. Sometimes as much as twice a week. Best practice would have mobile devices set to auto update so these revisions are automatically installed. Staff may experience issues when new versions of the Mobile App are released but the device is not updating. If the above enhancements are for modules that exist on the Mobile App, please note that is may be a few days until they are published and available.
