Release Notes 5/24/2024 - 6/6/2024

We are pleased and excited to announce these New Features and Enhancements with iCM.

New Features


Complex frequencies for CareTracker schedules

  • This update introduces a new feature that allows staff to define flexible schedules for services that need to occur "twice a month" or "four times a year" without specifying exact days. Staff can now set periods between occurrences, such as "twice a month with at least [x] days apart.  This function can be found in the "When & How Often" schedule area.  Then select Frequency and By Range.
  • In this schedule example effective 1 June staff could begin to document a service.  Staff would be able to document this service 3 times during each month.  Documentation of the service must occur with at least 1 "day off" in-between.  So if the service was documented on 1 June, it would not again be available for documentation until 3 June.  More information about this feature will be available in our Help site by early next week.

Attendance

  • 837P Individual Billing View Report
    • In Reports, customers using the 837P Billing Platform will now find the 837P Individual Billing View Report.  This report provides information on any Attendance data that has been Marked Done, Reviewed and Approved as well as data Marked Billed.  Fields found here are more specific to the 837 platform and downloading the report could be used for satisfying your billing needs for specific clearing houses or direct billing.  This Report is governed by permission in the Reports subsection.  As this is a new report the default is set to No Access.  System Admins should adjust accordingly.
  • 837P Individual Monthly Funding Limit Report
    • In Reports, customers using the 837P Billing Platform will now find the 837P Individual Monthly Funding Limit Report.  This report provides a great real time snapshot of the percentages of Monthly Funding that has been used during the month.  This Report is governed by a permission in the Reports subsection.  As this is a new report, the default is set to No Access.  System Admins should make adjustments accordingly.
  • Split Calendars for Monthly Funding Stream Limits
    • Customers using the Monthly Funding Stream limits will now find two Attendance Calendars when those funding limits are split during the month.  This safeguard aligns the appropriate Funding Stream Limit (FSL) units/dollars to the appropriate timeframe.  As an example if the old FSL award ended on 15 May and the new FSL award started on 16 May.  The first May calendar will show the correct available units up to 15 May and the second calendar will show the correct available units from 16 May to 31 May.  The first Calendar will have D/C from the 16th through the rest of May and the second calendar will show PS, for Pending Start, up to 16 May to prevent staff entry error.


Enhancements

Incident Reporting

  • Custom fields for Supervisor Action
    • In Incident Report Settings, customers will now find a new tab, Incident Report Custom Fields.  Here customers can set custom fields that will appear in Step 2, Supervisor Actions.  Consider adding additional fields to capture Causes and Contributing Factors and/or Preventive Measures etc.  Customers also have the ability to set fields are Required.  This prevents Saving the entry until data has been entered in those required field.  Reordering of the list is also easily available by using our drag and drop method.
  • Staff Status
    • As an Incident Report may be entered after a staff is no longer be active, customers will now find a checkbox when entering an Incident Report that will include a list of all inactive Staff.  This enhancement appears on both Step 1 and Step 3 of the IR process.


Appointments

  • Customer can now view the documents that were uploaded as part of the medical appointment without the need to download.  Once a document has been uploaded, staff can use the drop down carrot next to the "Show On eMAR" tab to View, Download or Remove.
  • Status Change

    • Customers that inadvertently changed an appointment's status to Complete will now find the option to revert that status back to Scheduled
  • Appointment entry validation:  

    • In this release, we have enhanced the appointment creation process by implementing additional mandatory field validations
    • These include:  Appointment Type and Reason for Visit


Clinical Contact Note Titling

  • The Clinical Contact Note now includes a new free text field in which customers can Title the CCN.  The title entered will appear at the top of the CCN on generated and printed documents.


Drill Templates

  • The Drill Module now includes the potential to create Templates.  Located in Admin Tools->Drill Templates, this allows customers to create one or more templates which can replace the generic default questions.  Customers can also require that selected fields have a comment entered.  Multiple templates can be made to address different settings.  For example, one could be created for Day based locations and another for Residential where the needs and emergency supply checking may be quite different.  Reordering of the list is also easily available by using our drag and drop method.


Document Management

  • Staff can now preview documents in this area without the need to download first.  This ability is possible when the permission has been set accordingly.  Previously titled View, the new title for this level of access is Preview.


Behavior Support Plan Review

  • In BSP Settings, customers will find the ability to indicate how often a BSP Review would be required.  This calculation will appear in the BSP Review Document List and is based off the Start Date of the BSP.  An alert will be added soon.


Facesheet

  • In this release, we have expanded the visibility of both the facility care levels and staffing ratios.


CareTracker Monthly report

  • In this release, we have updated the CareTracker monthly report to include the service provided date.
  • Customers will now find all Funding Streams listed under each Service when generating the Monthly Service Report.


Vitals

  • In this release we have enabled greater flexibility in the recording of Vitals in both the Vitals tab and when scheduled and available in CareTracker.  The current requirements will only be the requirement to add both the systolic and the dystonic blood pressure reading, if either is entered. 


Seizure Log

  • In this update, we have improved the Seizure Log Report by ensuring that the service descriptions are now displayed correctly. This enhancement will provide users with a more comprehensive view of the services associated with each seizure log entry.


PMOF Header

  • Now each page of the PMOF document include basic demographic information. This update aligns with the specified requirements to display the full name, date of birth, and Medicaid number on each page of the PMOF document.


Progress Note

  • Use of the Fax option from the Progress Note area now includes the Individual's DOB


Medication Scanning

  • Now during scanning the system will not only check for the latest Rx number but also within the Rx # history as well.



Mobile App

  • iCM often updates the Mobile App.  Sometimes as much as twice a week.  Best practice would have mobile devices set to auto update so these revisions are automatically installed.  Staff may experience issues when new versions of the Mobile App are released but the device is not updating.  If the above enhancements are for modules that exist on the Mobile App, please wait a few days until they are published and available.
