How to add an employment record?

To keep track of the jobs a person holds or any volunteerism you can track this through our Employment feature. This is a robust feature for tracking all aspects of employment for the people you support.

Step 1: Access the Individual’s eChart

  • Go to the ICM Dashboard.
  • Use the left navigation bar to select the Individuals icon.
  • Click the orange tab on the right to open the person’s eChart.

🔹 Step 2: Navigate to Employment Section

  • Find and click the red Employment tile (3rd row down).
  • This section contains employment history, resume, skills, and education.

🔹 Step 3: Manage Employers (Optional)

  • Click “Manage Employers” to:
    • Add/edit employer details.
    • Add reporting managers.

🔹 Step 4: Add a New Employment Record

  • Click “Add” within the Employment section.
  • Use the tabs at the top to switch between:
    • Job Info
    • Employer Info
    • Earnings
    • Safeguards (Optional)

🔹 Step 5: Complete Job Information

  • Job Title (e.g., Vet Tech) – Required
  • Type of Employment (Community, Facility-Based, etc.) – Required
  • Job Description / Alternate TitleOptional
  • Job-Specific Requirements (bathroom breaks, accommodations) – Optional
  • Insurance Status / Same Address as EmployerOptional

🔹 Step 6: Enter Employer Information

  • Select Employer from drop-down (or add new).
  • Reporting Manager will auto-populate (can also be added).
  • Start DateRequired
  • End Date / Reason for TerminationIf job has ended
  • Agency SupervisorOptional

🔹 Step 7: Fill Out Earnings Information

  • Earning Type (e.g., Business Payroll) – Required
  • Pay Rate (per hour, week, etc.) – Required
  • Hours per WeekRequired
  • Paid Time OffOptional

🔹 Step 8: Add Safeguards (Optional)

  • Include:
    • Safety gear (gloves, hard hat, glasses, etc.)
    • Specialized training
    • Uniform details
    • Bio evacuation info
    • Additional comments

🔹 Step 9: Save & Manage the Record

  • Ensure all required fields are filled (red asterisk).
  • Click Save.
  • After saving, you can:
    • Change Status (Pending, Active, Terminated).
    • View job duration and update any field.
